This policy explains what data Pitchwork ("we," "us") collects, why, and the choices you have. It applies to getpitchwork.com and the Pitchwork application. If you have questions, email hello@getpitchwork.com.

Who we are

Pitchwork provides software that helps residential roofing contractors convert on-site photos and voice memos into insurance-claim scope and supplement documents. Our service is intended for business use by contractors and the insurance adjusters they work with.

What we collect

Account data — name, business name, email address, phone number, and the city/state where the business operates. You provide this when you claim a directory listing or sign up.
Job content — photos you upload, voice memos you record, property addresses, claim numbers, and the line items generated from that input by our AI pipeline.
Adjuster sessions — when a contractor delivers a scope to an insurance adjuster, we record the adjuster's email, optional name and carrier, and the disputes or approvals they submit on the job.
Billing data — handled by Stripe. Pitchwork never stores full card numbers; we receive only the last four digits, the brand, and a Stripe customer/subscription identifier.
Usage and device data — IP address, browser, pages viewed, and timing information collected through standard server logs and our analytics providers (Google Ads, Meta Pixel) for measuring marketing and product performance.
Cookies — a session cookie when you sign in (functional), and analytics cookies set by the providers above.

How we use it

To operate the service — generate scopes, deliver documents to adjusters, run reminders and notifications.
To bill you and prevent fraud.
To improve the product — we may aggregate or anonymize usage patterns to refine our AI prompts and matching logic. We do not use the contents of individual jobs (photos, memos, addresses) to train third-party AI models.
To send you transactional emails (notifications, account alerts) and, with your consent, occasional product updates. You can opt out of marketing emails at any time.

Who we share it with

We share data with third-party service providers only to the extent needed to run Pitchwork. The current set:

Cloudflare — hosting, database, object storage, AI inference (Workers AI).
Stripe — subscription billing and payments.
Google & Meta — ad measurement and analytics on our marketing pages only.
Cloudflare Email Service — transactional and notification email delivery.

We do not sell personal information. We do not share job content with parties outside the contractor's chosen workflow (i.e. the adjuster they explicitly send a scope to).

How long we keep it

Active account data and jobs remain in our systems while your subscription is active and for 90 days after cancellation, after which we delete or anonymize.
Photos and voice memos can be deleted by the contractor at any time from the job page. Once deleted from the app they are removed from our object storage within 30 days.
Billing records (invoices, receipts) are retained for seven years to meet US tax and accounting requirements.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your personal information; to opt out of certain sharing or sales (we do not sell); and to lodge a complaint with a regulator. To exercise any of these, email hello@getpitchwork.com from the address on your account. We will verify and respond within 30 days.

Security

All traffic is served over HTTPS. Session tokens are HMAC-signed. Payment data is handled by Stripe (PCI DSS Level 1). We use Cloudflare for infrastructure hardening. No system is perfectly secure; we will notify you promptly if a breach affects your data.

Children

Pitchwork is not directed to children under 13 and we do not knowingly collect their information. If you believe we have, contact us and we will delete it.

International users

Pitchwork operates in the United States. If you access the service from outside the US, you consent to your data being processed in the United States.

Changes

We may update this policy as the product or the law changes. When we do, we will update the "Last updated" date above and, for material changes, notify you by email or in-app banner before they take effect.
